The "offline" message, explained
When your computer says the printer is offline, it almost always means the two are no longer talking to each other over Wi-Fi, even though the printer itself is turned on and looks ready. This is a connection problem, not the printer breaking down, and it is one of the most fixable things we see.
It is different from a printer that turns on but will not print at all, or a printer that keeps dropping off every few days on its own. This page is about the specific fix of getting an already-offline printer talking to your network and computer again, right now, in one visit.
Why it drops off in the first place
Printers often get a new address on your home network every time the router restarts or after a power outage, and your computer keeps looking for the old one. A router update, a printer that went to sleep and did not reconnect properly, or simply being too far from the Wi-Fi signal can all cause the same offline message.
- The printer received a new network address the computer does not know about
- The router restarted or updated and the connection was not restored
- The printer went into sleep mode and never reconnected on its own
- A weak Wi-Fi signal at the printer's location
How we reconnect it and make it stick
We reconnect the printer to your Wi-Fi, remove the old confused connection from your computer, and add the printer back correctly so it shows as ready to print. Then we set it up so this is less likely to happen again, usually by giving the printer a fixed address on your network instead of one that changes.
- Printer reconnected to your home Wi-Fi
- Old printer connection removed from the computer and re-added cleanly
- A test page printed to confirm it is working
- A fixed network address set so it stops dropping off after router restarts
